On Call

Leads, Captured and Routed

This is the lead capture module.

When a caller asks about a wedding or a board offsite, the lead capture module asks the questions your events team would ask, answers the ones the caller has, captures the contact, emails the right person, and transfers the call to the salesperson who owns that department.

01

The most expensive call of the year doesn't leave a voicemail

The events team is out on the lawn with a corporate client on a Tuesday afternoon, walking the tent line and talking through load-in. Back in the office, the phone rings. The caller is a bride's mother with a date next October, a guest count near two hundred, and a shortlist of three properties she intends to call before dinner.

The call rolls to voicemail, or to a front desk agent between check-ins who writes down wedding inquiry and a number with one digit she isn't sure about. Neither is anyone's failure. But the caller has two more properties on her list, and one of them answers with a person who can talk about October.

The team comes back from the lawn to an office that looks exactly as they left it. No message that survived, no name, no date. A six-figure catering decision was in the building for the length of four rings, and no report your property produces will ever show that it happened.

02

The events office is empty because the ballroom is full

Nobody who sells weddings is casual about a missed inquiry. Every disciplined director of sales has built machinery for the empty office, and most of the time it works.

The fixRoll the line to the desk Why it breaksThe front desk can take a number. It cannot say whether the terrace holds a ceremony for two hundred, and it cannot ask the questions that qualify the business. A message is not a lead.
The fixSet a same-day callback standard Why it breaksA caller comparing three properties gives her afternoon to the one that engaged her. Tomorrow's callback joins a conversation another property started, if the number was written down right.
The fixCarry a cell on site visits Why it breaksThe work of an events team is to be away from the desk: walking clients through ballrooms, running tastings, managing the weddings already on the books. A coordinator mid-tasting cannot take the call, and the lawn has dead zones.

The structure defeats it anyway. The better your events business gets, the emptier the office is, and the more valuable the calls that ring into it. Coverage thins at precisely the moments demand is proving your team good.

03

The site visit continues. So does the sale.

Replay the same Tuesday with the module on the events line.

  1. The questions your team asks While your team walks the tent line, the caller is asked what your events director would ask first: the date, the guest count, ceremony on property or off, whether a room block is in play.
  2. Answers she can compare Her own questions about capacity, catering formats, and what the terrace holds are answered from material your team approved, so your property stays in a comparison being decided that afternoon.
  3. A contact, not a maybe Name, number, email, and the substance of the inquiry are captured before the call can end, which means the lead now exists whether or not anything else goes right.
  4. Emailed to the right desk The full inquiry goes by email to the salesperson who owns weddings at your property, not to a general box that gets read tomorrow.
  5. Transferred to your closer Then the call itself is transferred to that salesperson, who picks up already holding the date, the count, and every question asked: the call handed to a person the moment there is a sale for a person to make.
  6. A lead either way If the transfer can't complete, a dead zone on the lawn or a tasting that can't be interrupted, the captured lead has already landed in email, and the callback starts from a record instead of from nothing.
The hand-off

Your people stay in the loop. A person takes the call the moment a person is what it needs, under the rules you set: who, when, and for what.

04

The events line, bought by itself

In plain terms

On your events line, this is the lead capture module, one capability of an AI-powered concierge service for your property's phones. It handles the inquiry from three things your property already has, written down or not: the qualifying questions your sellers ask, the answers your team approved, and a routing sheet naming who owns which business. Each lead is emailed to that salesperson with the full transcript attached, and the live call is transferred to them.

Plugs into
  • Your existing phone system or PBX
  • Your events, banquet, and group sales lines
  • Your qualifying questions, approved answers, and routing sheet
  • Your email and your sales team's phones
Stands alone

It stands alone: the PBX stays as it is, no other department is involved, and more capabilities can be added later or never. Your sellers still close every sale; the call reaches them the moment there is one to make.

  • Answers inquiry calls to events, banquet, and group sales lines at any hour, in the caller's language.
  • Asks the qualifying questions your sales team defines; nothing is improvised on the call.
  • Answers the caller's own questions from property material your team has approved.
  • Captures name, contact details, and the substance of the inquiry before the call ends.
  • Emails each lead to the salesperson who owns that department, then transfers the live call to them.
  • Records and transcribes every call it takes, and is purchasable on its own, with nothing else on the property changing.
The story to tell ownership

Tell ownership where the weddings went

Our biggest bookings call us, and they call while the people who close them are out doing the work we already sold: site visits, tastings, the weddings on the books. Any inquiry that rings into that gap is invisible: no message, no name, no line on any report, just a caller who books another property. On our events line now, the call gets answered, the qualifying questions get asked, the contact gets captured, and both the lead and the live call go straight to the salesperson who owns that business. Nothing else on the property changed, every call is recorded and transcribed, and if the pipeline doesn't show new leads, I can turn it off.

The demo is the call

Don't take our word for it.
Take the call.

Leave your name and a number, and one of our agents will call you. Ask it something hard. Ask it in another language.
